The following terms and conditions become binding for both parties once the customer has made the payment stated in the terms of the contract. These terms are governed by Finnish law. Any disputes unresolved through negotiation will be settled in the District Court of Lapland.


1. Service Language

The primary language for guiding and all services is English. For safety reasons, you must be able to communicate in english.


2. Liability, Other Injuries, and Motor Liability Insurance

PolarMax Adventures exercises due diligence, implements contingency plans, and adheres to appropriate health and safety measures in accordance with Finnish laws and program service standards when delivering services under these terms and conditions.

All motorized transport vehicles used in Finland must have valid Motor Liability Insurance. Compensation for damages or injuries caused by a road accident will be covered by the Motor Liability Insurance of the vehicle involved. Compensation includes:

  • Medical treatment, pain and suffering, and handicap for bodily injuries, as per Finnish laws and insurance terms.
  • Property damage up to €3,300,000.

If an injured party willfully or through gross negligence causes their injury, compensation may be denied.

PolarMax is liable for personal injuries or material damage caused by its negligence, employees, or subcontractors during service delivery. However, PolarMax is not responsible for accidents covered by a customer’s travel insurance. Personal travel insurance is highly recommended.

Activities such as snowmobile and husky safaris can be physically demanding. Customers with illnesses, disabilities, or pregnancy should consult a doctor before participating, acknowledging that participation is at their own risk.


3. Snowmobile Tours and Snowmobiling Terms

  • All snowmobiles used during safaris are insured as required by Finnish law.
  • Liability for damages: Participants are responsible for damages they cause to snowmobiles, with a deductible of up to €980 per driver, per snowmobile, per incident. This liability can be reduced to €150 by paying an additional fee of €20 per driver at checkout or before the tour.
  • Driver requirements:
    • Drivers must be at least 18 years old and hold a valid driver’s license, which must be carried during the safari.
    • Driving under the influence of alcohol or drugs is strictly prohibited under Finnish law.
  • PolarMax reserves the right to modify routes, schedules, or the duration of safaris due to weather or safety concerns. Safaris may also be discontinued if a participant is deemed a danger to themselves or others.
  • Participants must follow safety instructions provided by PolarMax. Reckless or disobedient behavior may result in the non-refundable termination of the activity.
  • Children under 140 cm: Must ride in a sled pulled by a snowmobile and cannot be passengers on a snowmobile.
  • Pregnant women: Snowmobiling or riding in a sled pulled by a snowmobile is not recommended due to potential risks. Special safety arrangements can be made at an additional cost.
  • PolarMax reserves the right to modify routes, schedules, or excursion durations due to weather or safety concerns. Tours may also be discontinued if participants are a danger to themselves or others.

4. Cancellation Policy

  • Late arrivals: If a customer is more than 15 minutes late for the agreed pick-up or meeting time, PolarMax reserves the right to cancel the booking without a refund.
    • Customers must notify PolarMax of delays by calling or texting +358400893438. Rescheduling is subject to availability and cannot be guaranteed.
  • Customer cancellations:
    • Cancellations made more than 24 hours before the activity: Eligible for a full refund.
    • Cancellations made less than 24 hours before the activity or no-shows: No refund will be provided.
  • Cancellations by PolarMax: PolarMax reserves the right to cancel or rearrange tours due to weather, safety, technical issues, or other unforeseen circumstances. Customers will be notified via phone, text, or email. If rescheduling is not possible, a full refund will be provided.
  • Illness: A full refund will be granted if a valid medical certificate is submitted within two working days of cancellation.

5. Animals, weather and natural phenomenons

Animals (reindeer, horses, dogs) possibly used in services are trained for the activities to the extent possible. However, animal behavior can be unpredictable. Participants must follow all safety instructions to minimize risks.

Weather, nature, ice, snow can be unpredictable. We do our best to choose safe routes under safe conditions, but ultimately we can not control natural phenomenons. Northern lights may or may not be seen, depending on clouds and sun activity. This kind of phenomenon is difficult to predict in advance. We do not refund started activities due to above changes. Earlier cancellations are according to our cancellation policies.


6. General Terms for Booked Activities

  • PolarMax reserves the right to change prices due to tax changes or external factors.
  • Timetables and content may be adjusted due to weather or ice conditions.
  • In the event of force majeure, PolarMax may cancel reservations. Customers will receive a full refund, but additional costs incurred by the customer will not be refunded.
  • Customers are advised to have travel insurance covering medical costs and potential cancellations. PolarMax does not provide customer insurance.
